Privacy Policy

This policy explains what TheTech and its dashboard (the “Service”) collect, why, and what you can do about it. The Service is operated by BobbyTheTech, who is the data controller for the purposes of UK and EU data protection law.
1. What we store
The Service stores the minimum needed to work. Everything below lives in a single database on our own server.
Identifiers
- Discord user IDs, server (guild) IDs, channel IDs, role IDs, and message IDs
We do not store email addresses, real names, passwords, payment details, or IP addresses alongside your Discord account.
Server configuration
- Settings you choose — log channels, enabled modules, automod switches, currency name, pricing
- A list of words an administrator has chosen to filter
- Shop listings, reaction role mappings, ticket configuration
Moderation records
- Case records: the user actioned, the moderator, the action taken, the reason typed by the moderator, and a timestamp
- Open ticket channels and who claimed them
Support ticket transcripts
When a support ticket is closed, we save a transcript of that ticket channel — the messages, who sent them, and when (up to the last 100 messages) — so server staff can review the conversation afterwards. This is the one place we retain message content, it is limited to the ticket the member themselves opened, and it is visible only to that server’s administrators (on the dashboard) and staff (in the log channel). Open tickets are not stored until they close.
Game and feature data
- Virtual balances, bank, streaks, inventory, and active effects
- Cultivation game progress
- Saved playlists and liked songs — track titles and links, plus who added them
- Custom role records: the role, its upkeep, and next billing date
Dashboard session
- A signed cookie holding your Discord user ID, username, and avatar URL, so you stay signed in. It expires after seven days.
- Your Discord access token is not stored. It is used once at login to read your profile, then discarded.
2. What we do not store
This is the part people usually want to know.
- We do not store general message content. Automated moderation reads messages in memory to check them against your rules, then discards them. Nothing is written to disk. The one exception is a closed support ticket’s transcript, described above.
- We do not store voice audio. Music is streamed from the source to Discord and never recorded. The Bot cannot hear or record you.
- If you enable audit logging, message edits and deletions are posted to a channel you choose, inside your server. That content sits in Discord under your control — it is not stored in our database.
- We do not use analytics, advertising, or tracking cookies, and we do not profile you.
3. Why we store it
Our lawful basis is legitimate interests: operating the features a server has chosen to enable. Configuration is needed to honour a server’s settings; moderation records are needed for administrators to review their own enforcement history; game data is needed for the games to function; the session cookie is needed to keep you signed in.
4. Server logs
Our hosting keeps operational logs (errors, service restarts, command counts) for troubleshooting. These can contain Discord IDs. They are retained for a limited period and are not used for any other purpose.
5. Sharing
We do not sell your data and do not share it with advertisers. Data is shared only with the infrastructure needed to run the Service:
- Our hosting provider, which stores the database and runs the Service
- Discord, which the Service is built on
- Music sources, when resolving a track you request
- A payment processor, if you buy a paid feature — they handle payment data, we never see it
We may disclose data where legally required.
6. Retention
- Server configuration and game data are kept while the Bot is in your server
- If the Bot is removed, that server’s data may be deleted without notice
- Dashboard sessions expire after seven days
- Custom roles are deleted after three missed upkeep payments, along with their record
7. Your rights
If you are in the UK or EU, you have the right to access, correct, delete, restrict, or object to our processing of your data, and to data portability. You may also complain to your data protection authority — in the UK, the Information Commissioner’s Office.

Deletion note: we can delete your personal game and economy data on request. Moderation records are retained for the server administrator’s legitimate interest in their own enforcement history, and requests to delete those are directed to the administrator of that server.
8. Security
The database is on a private server, not publicly reachable. Dashboard access requires Discord sign-in over HTTPS, and only servers where you hold Manage Server are shown. The internal API is bound to localhost and is not exposed to the internet.
No system is perfectly secure, and we cannot guarantee absolute security.
9. Children
The Service is not directed at anyone below Discord’s minimum age for their country. If we learn we hold data from someone below that age, we will delete it.
10. Changes
We may update this policy. Material changes will be announced in our support server or on this page, with the date above updated.
